Radiate client portal

Portal Terms of Use

1. What the portal is for

Radiate Productions provides this client portal to help invited clients and authorized team members organize event details, music preferences, timings, contacts, and planning requests. These terms concern the portal, not the separate agreement for your event services.

2. Your booking agreement stays separate

Your agreed booking contract governs the services, price, payment, cancellation, and other arrangements for your event. The portal can provide Square-hosted checkout links for separate deposit and final-balance requests. Paying a deposit does not settle any remaining balance. The portal does not execute contracts or issue invoices. A booking status or package description displayed here is planning information, not a replacement for that agreement.

Saving a plan, submitting it for review, completing the welcome overview, or a team member marking a plan reviewed does not itself confirm a new service, amend a booking, or accept a requested change. No portal action substitutes for agreeing booking changes with Radiate through the process in your booking agreement. Contact your Radiate team directly about changes, discrepancies, or time-sensitive requests.

3. Account access and permitted use

Access is arranged by Radiate; there is no public registration. Use only your own invited account and the bookings you are authorized to access. Sign in using your matching Google account or an email sign-in link, when available. Protect your email and Google account, do not forward sign-in links, and sign out on shared devices.

Additional contacts need their own Radiate-arranged accounts. Contacts linked to the same client can see and edit that client’s shared planning information. Ask Radiate to review access when a contact should no longer participate or if you suspect unauthorized use.

  • Use the portal for legitimate event planning and administration.
  • Do not impersonate someone else, access another client’s information, bypass access controls, or attempt to disrupt or overload the service.
  • Do not submit malicious material, unlawful content, or information you are not entitled to share.

4. Information you provide

Keep your planning information accurate and relevant to your event. Planning answers are optional. When you provide another person’s contact details or preferences, make sure you have permission to share them for event coordination. Do not enter passwords, payment-card details, or unnecessary sensitive personal information.

Radiate uses saved information to coordinate and deliver your event. Saving a draft and submitting it for review are separate steps; neither guarantees immediate attention. If you need a prompt response or cannot save a change, contact Radiate outside the portal.

5. Connected services and venue information

The portal uses service providers for hosting, data storage, sign-in, email, payments through Square, and team coordination. Administrators can view read-only HubSpot conversation history and use Discord for internal crew coordination. These features do not give clients access to those internal systems. The Portal Privacy Policy explains these data flows.

Administrator venue search uses Google Maps Platform’s Places API. Use of that feature is subject to the Google Terms of Service and the Google Maps End User Additional Terms of Service, which are incorporated here for that use. Google publishes separate Google Earth Additional Terms of Service; this portal’s venue lookup uses Google Maps, not Google Earth. Google’s processing is described in the Google Privacy Policy.

Venue suggestions may be incomplete or inaccurate. Confirm the venue name, address, and event arrangements with the venue and Radiate. Manual venue entry is available. Keep Google and third-party attributions with the results, and follow Google’s restrictions when using that content. External websites and services have their own terms and privacy policies.

6. Availability and account help

The portal and connected services may be unavailable or show information that needs correction. Do not rely on the portal as your only record of agreed arrangements or as an emergency communication channel. Contact Radiate for access problems, booking corrections, or an alternative way to share your plans. Radiate may restrict portal access to address misuse or protect client information; that does not itself change your booking agreement.

7. Questions and revisions

Questions about the portal or these terms can be sent to info@radiatepro.com. This document may be revised after owner review or as portal features change. It does not replace any rights or obligations under your separate booking agreement or applicable law.
